About the Role:

As a member of the Purchasing department, you will directly support the business to ensure efficient and effective sourcing, purchasing, and delivery of goods and services while maintaining cost-effectiveness and quality standards required within a global pharmaceuticals business.

Aligned with specific business functions, your role will involve sourcing, evaluating and onboarding new suppliers, operating the organisation due diligence processes, raising purchase orders, monitoring adherence to the organisational purchasing requirements, supporting contract negotiation and generally managing suppliers through the entire procurement process. In addition, you will monitor unfulfilled commitments, including, but not limited to, unused purchase orders and uncompleted orders.

You will be required to document all processes followed by the team to create a robust framework of SOPs and Knowledge based articles upon which the function operates.

This role is based in our Mumbai site in India, but support will be provided to the business either in person, over the phone or via teams to satisfactorily address all issues.

We operate a flexible hybrid working policy with required site presence at a standard minimum of 3 days a week.

Working hours aligned to support global business are also required.

The Purchasing department is newly created department and seeks to define an ethos of continuous improvement, refining systems and process and creating business efficiencies. This, along with the rapid growth of the business, leads to a varied, robust and controlled working environment.

Key Responsibilities:

For your partnered business functions:

  • Supplier Management: Manage relationships with a diverse portfolio of global suppliers, ensuring clear communication, issue resolution, and continuous improvement.
  • Contract Negotiation Support: Lead contract negotiations with both suppliers to secure favourable terms, including pricing, licensing agreements, warranties, and service levels.
  • Purchase Order Creation & Management: Prepare, process, and verify purchase orders (POs) and other documentation; manage requisitions from internal teams
  • Discounts and Cost Optimisation: Identify and negotiate discounts, volume pricing, and long-term agreements with suppliers to optimize procurement costs.
  • Contract Lifecycle Management Support: Oversee the full contract lifecycle for suppliers, including drafting, reviewing, renewing, and ensuring compliance with terms, licenses, and service-level agreements where required.
  • Cost Tracking & Budgeting: Where required, monitor and track procurement costs, ensuring alignment with budgetary constraints.
  • Invoicing and Payment Management: Management of obsolete POs and supplier accounts, and correct routing for all business Purchase Requests (PRs).
  • Supplier Performance Evaluation: Regularly evaluate key suppliers based on performance, delivery timelines, quality, and compliance with contractual obligations.
  • Global Procurement Operations: Manage procurement processes for hardware and software across global offices, ensuring compliance with local regulations, taxes, and currency fluctuations.
  • Cross-functional Collaboration: Work closely with your partnered business to ensure alignment on procurement needs, budgetary goals, and licensing strategies.
  • Procurement Systems and Tools: Use procurement and contract management tools to track hardware and software orders, licenses, contracts, vendor performance, and cost-saving opportunities.
  • Purchasing Documentation: Review, update and create SOP and Knowledge Base articles as required.

About You - Skills & Experience Required:

We're looking for a motivated individual with a background in purchasing and procurement support, and an enjoyment of supporting colleagues across the globe in a fast-paced, dynamic environment. Qualifications:

  • Bachelor's degree in Computer Science or related field (or equivalent) is desirable

Technical Skills and Experience:

  • Proficiency in Windows 10/11, MS Office 265 and MS Server platforms, as well as experience in using SharePoint
  • Proficiency in SAP S4/Hana
  • Contract Management skills
  • Efficient procurement processes and engagement with vendors
  • Cost management skills in order to evaluate, optimise and control all aspects of cost
  • Track record of customer service and supporting users on-site and remotely with supporting tools
  • Structured document writing supporting processes and instructions
  • Face to face user training and knowledge transfer skills
  • Excellent project management, analytical and problem-solving abilities
  • Ability to make decisions based on analysis and metrics
  • Ability to work effectively in a fast-paced environment and meet tight deadlines
  • Exceptional communication skills in English
  • Ability to develop and maintain professional relationships with both internal and external partners
  • Proven track record of being a proactive and engaged team player
  • Flexibility with working hours to support a global business
  • Ability to travel internationally and a valid driving licence is desirable
